Common Concerns for the Client
  • It has been 19 days since we last spoke and Kevin may feel out of the loop given he asked to ramp things up
  • Only 5 of 25 leads converted to appointments last 30 days and Kevin may be questioning lead quality despite understanding it is a numbers game
  • Kevin wants to scale but may be wondering if budget is actually being pushed aggressively enough with only $777 spent in 30 days
Action Steps We Are Taking
  • Launched 8 new creatives on June 16 including NEW VIDEO #1, NEW VIDEO #2, New AD #1, and New AD #2 to expand creative testing and find new winners to scale
  • Prioritize budget reallocation toward top CTR performers — NEW VIDEO #1 June 16 at 7.89% CTR and NEW VIDEO #1 at 4.7% CTR — while monitoring NEW VIDEO #2 June 16 for early signals
  • Address the live transfer process with the intake team — Kevin flagged that his contact Cynthia was caught off guard on a transfer, so we need to ensure all contacts are briefed and ready before transfers are connected
  • Schedule a check-in call with Kevin this week to close the 19-day communication gap, present creative results, and align on a budget increase plan to fulfill his request to ramp up
Objections & Reframes
  • Objection: I have not heard from you in almost three weeks and I asked to ramp things up. Reframe: You are completely right and that is on us — we have been heads down launching 8 new creatives and reallocating toward our top performers, but we should have looped you in sooner. Let me walk you through exactly what changed and where we are going next.
  • Objection: I am only getting 5 appointments out of 25 leads, that feels low. Reframe: Your last 14 days actually show 4 appointments from 8 leads which is a 50% conversion rate, so the newer leads are converting much better — the 30-day number is dragged down by earlier volume and we expect it to improve as the new creatives mature.
  • Objection: My cost per appointment is coming in above $150, are we hitting targets? Reframe: At $155 you are only slightly above the ceiling and your last 14 days came in at $92.50 per appointment which is well inside range — as we scale spend into the winning creatives that cost should hold or come down further.

ZOOM CALL (Ryan) with BRIAN McCARTHY - Kevins FATHER, helping manage the account. WINS: Pools of Paradise has closed ~5 pools off LP leads, est ~$400k gross revenue. Very happy - you guys are doing a good job, making us really good money. ISSUE RESOLVED: Kevin couldnt connect his Google Calendar / couldnt find the portal - same calendar-sync/onboarding gap as Dean Fabian. Walked Brian through it: portal app.gohighlevel.com, login poolsofparadise.gmail.com, pw Poolsofparadise123!; Calendars tab > Connections > Add new > connect Google Calendar. Brian has the credentials + steps and will connect it. TESTIMONIAL: Brian agreed to a written review AND a 30-60 sec video testimonial (after a haircut) - income opportunity. ACTION ITEMS: (1) Brian to confirm exact pool-sales count with Kevin and email Ryan (iamryanxmas@gmail.com) in a few days. (2) Testimonial video to follow. Brian is now a friendly point of contact, happy to work with Ryan. PATTERN: 2nd client (after Dean) blocked by not knowing where the portal is / how to connect the calendar - onboarding gap worth flagging to Nico.

SMS (billing): Kevin asked for a scheduling link (via Nico email). Root cause: no Google Calendar connected in his GHL subaccount. Told him to log in -> Calendars -> Connections -> connect Google Calendar, offered a call to walk him through. OPEN: Kevin to connect his Google Calendar; follow up to confirm/offer call.

So far, he has received two good leads. Billing is in good standing, and he is not feeling overwhelmed by the volume. We should create a Loom video showing him how to access and manage his calendar. He also emphasized the importance of being notified whenever new leads come in. I explained our lead vetting process, including how we contact and qualify prospects before either booking them directly onto his calendar or sending them over as a live transfer. He was pleased with the explanation and now has a much clearer understanding of how the process works.
