Common Concerns for the Client
  • I feel like I'm missing appointments or dropping the ball with customers and it's costing me jobs
  • I'm not sure the leads I'm getting are actually turning into real estimates and revenue
  • I haven't heard much from my account team and don't know if anything is being actively worked on
Action Steps We Are Taking
  • Escalate the office messaging integration issue to Nico/ops immediately — appointment details and customer communications must sync to Dean's phone so he stops missing time-sensitive estimate windows
  • Follow up with Dean via phone call since two billing-related SMS messages have gone unanswered — a live conversation is the fastest path to resolving the billing hiccup and confirming the account stays active
  • No new creatives have launched in the last 14 days — brief and launch at least 2 fresh ad creatives this week, modeling structure after NEW CREATIVE FEB #1 which is leading at 3.8% CTR on low spend and shows room to scale
  • Shift more budget toward NEW CREATIVE FEB #1 and NEW CREATIVES #3 which are outperforming on CTR while NEW CREATIVES #2 is consuming the majority of spend at a lower 2.62% CTR — rebalance to improve efficiency
Objections & Reframes
  • Objection: I keep missing customers and it makes me look unprofessional. Reframe: That's on us to fix — we identified it's a technical sync issue between the office system and your phone, not anything you're doing wrong. We're escalating it to our ops team right now so appointment details go straight to you in real time.
  • Objection: I'm not seeing a return — I don't know where these leads are going. Reframe: Your numbers are actually strong — over the last 30 days you're converting 26% of leads to appointments at under $96 each, which beats the industry benchmark we target. The priority now is making sure those appointments are actually reaching you so you can close them.
  • Objection: I haven't heard from anyone and feel like I'm being ignored. Reframe: That's fair feedback and we own it — there was a billing flag that needed a quick call to sort out and we didn't get you on the phone fast enough. We're reaching out today to connect live and make sure nothing is interrupted on your account.

CALL (Ryan) - RESOLVED the messaging/calendar sync issue. Confirmed root cause: Deans Google Calendar was never connected at onboarding, so appointments werent syncing to his phone - he was NOT ignoring us. FIXES on the call: (1) Corrected Deans email in system (correct = dean@nccew.com). (2) Logged Dean into his GHL subaccount + gave admin permissions (limited options were because hes on the LeadConnector mobile app). (3) Connected his Google Calendar (dean@nccew.com) - SUCCESS, now syncing bookings. (4) Set availability: 9:30am-6:00pm, Saturdays yes, Sundays no. (5) Contact: primary 404-500-7101 (Google business #), added direct cell 678-972-6460 as backup. PIPELINE (last 5 appts, now visible to Dean): Tim King - attended, CLOSE to deal (estimate given); David Stroud - attended, CLOSE to deal (estimate given); Ramon/Raymond - attended, possibly moving forward; Keisha - MISSED (casualty of the sync issue); Levette - tomorrow. Relationship repaired, Dean cooperative, agreed to stay in touch and flag if he cant make an appt. RECLASSIFY: Dean no longer at-risk - active/healthy, 2 deals in progress.

ROOT CAUSE FOUND - Deans missed messages/appointments are a SYSTEM issue, not Dean ignoring us. The new messaging system is NOT syncing appointment details and customer comms to Deans phone. Example: a client expected Dean for a 4:00 PM estimate after an automated text said Dean was ~1-1.5 hrs away; Dean realized the office appointment details were never forwarded to his phone (messaging integration issue). He confirmed the address, said he was in Sharpsburg heading over, and asked the client to text his personal cell the address so he could navigate. ACTION ITEM: Review the office messaging integration so appointment details + customer communications sync to Deans phone, to prevent missed/delayed appointments. REFRAME: stop treating Dean as unresponsive/disengaged - the fix is technical. Escalate to Nico/ops.

Daily task done. Texted Dean (fresh angle): opened on his live-transfer/estimate flow, framed the billing item as protecting that flow, asked for a quick call time today/tomorrow. Prior 2 billing-hiccup texts went unanswered; call still the stronger fix if no reply.
