Common Concerns for the Client
  • Why am I getting leads but so few are turning into actual appointments or live transfers?
  • My cost per appointment is way too high — I'm not seeing a clear return on what I'm spending.
  • The lead volume looks okay on paper but I still don't feel like I have visibility into what's actually happening with these leads.
Action Steps We Are Taking
  • Launched 5 new creatives on June 19 (Photo #1, Photo #2, Photo #3, Video #2, Video #3) to test fresh angles and improve top-of-funnel engagement and lead quality.
  • Monitoring early CTR signals on new June 19 creatives — June Video #2 is already showing a 4.65% CTR with minimal spend and will be prioritized for budget scaling if lead quality holds.
  • Following up with Mike to obtain his login credentials so he can access the platform directly and track lead conversations, appointments, and activity in real time — improving his visibility and trust in the pipeline.
  • Reviewing lead-to-appointment conversion data to identify whether the drop-off is a lead quality issue or a speed-to-contact issue on the sales side, and will bring a specific recommendation to Mike on the next call.
Objections & Reframes
  • Objection: I'm getting leads but nothing is converting — what's the point? Reframe: Your 30-day lead-to-appointment rate is at 17.5%, which is close to the 20% target — the bigger gap right now is cost per appointment, and that's directly tied to the new creatives we just launched on June 19. Give those 7–10 days of real data and we'll have a much clearer picture of what's pulling costs down.
  • Objection: My cost per appointment is too high at over $150 — this isn't working. Reframe: You're right that $168 is above our $100–$150 target, and we're not satisfied with that either — that's exactly why we pushed new creative this week. Historically, tightening creative performance is the fastest lever we have on cost per appointment, and we already have early winners showing strong CTR.
  • Objection: I don't have enough visibility into what's happening with my leads. Reframe: That's a fair concern and we're fixing it right now — once you're logged into the platform you'll be able to see every lead, conversation, and appointment in real time so you're never in the dark again.

Client requested a temporary pause: take him off the lead rotation for 2 weeks. He is wrapping up current jobs this week, then having surgery with ~2-week recovery. Ryan acknowledged and wished him a speedy recovery. This is a medical pause, NOT a cancellation. Resume lead rotation ~week of Jul 27. Do not bill / route new leads during the pause.

The client was having trouble accessing the CRM, but we were able to successfully get him logged in. He also needs access to his Facebook Ads account and would like assistance with that setup. Additionally, he mentioned that one of our setters provided a customer with an estimate that ended up being exactly correct. Based on his experience, he believes estimate appointments should be scheduled for approximately one hour rather than the current 20–30 minute time slot to allow enough time for a thorough consultation.

Michael has already been contacted and met with the team via Zoom regarding his recent campaigns and concerns about lead volume. A strategy has been developed to address the issue, and the team is also following up with him to obtain his login credentials so he can access the application and better track conversations, leads, and other activity. Based on these actions and the ongoing support being provided, I would not classify him as a high-risk account at this time.
